PRIVACY POLICY
Bellbee is a WhatsApp automation platform provided by Cybersol360, operating as Cybersol360 Ltd (registered in England and Wales) and Cybersol360 (Pakistan). Together referred to as “Cybersol360,” “we,” or “us.” Cybersol360 is the data controller for information collected from business owners using Bellbee, and acts as a data processor on behalf of those businesses for their end-customers’ data.
This policy applies to business owners who register for a Bellbee account, end-customers who message a business through Bellbee’s WhatsApp assistant, and visitors to our websites. If you’re an end-customer with questions about how your data is used by a specific business, contact that business directly. If they don’t respond, email us at [email protected].
General information we collect: when you visit our website or contact us about our other services, including IT procurement, data analysis, cybersecurity, or related consulting, we collect the information you provide directly, such as your name, company, email, and the details of your enquiry, along with standard technical data like IP address and browser type. We use this to respond to your enquiry, deliver any service you engage us for, and improve our website. We don’t sell this information or share it for anyone else’s marketing.
Bellbee: data we collect and how we use it. Bellbee is Cybersol360’s WhatsApp automation product. This section describes what happens specifically when you use Bellbee, whether as a business owner with a Bellbee account or as an end-customer messaging a Bellbee-powered business.
From business owners, we collect your name, business details, contact info, login credentials (stored as a secure hash, never in plain text), billing and subscription info (card details are handled entirely by our payment processor, never stored by us), and technical and usage data like IP address and login activity.
From end-customers who message a Bellbee-powered business, we collect your WhatsApp number (stored encrypted, never shown or logged in plain text), your WhatsApp display name, your message content, and any appointment or order details you provide through the chat. If you’re an end-customer with questions about how your data is used by a specific business, contact that business directly. If they don’t respond, email [email protected].
We use Bellbee data to run the service: connecting your WhatsApp number to our AI assistant, generating replies, storing your conversation, order, and appointment history, processing payments, and sending account-related emails. We also use aggregated, anonymized usage data to improve the product. This is never tied back to an identifiable person or business, and we never sell personal data to anyone. You can object to this aggregate use by emailing [email protected].
AI disclosure: messages sent to a Bellbee-powered business are read and replied to by an AI system, which may not always respond perfectly. Businesses using Bellbee are required to disclose that automation is in use, and customers can type “HUMAN” at any time to reach a person instead.
Who we share Bellbee data with: Meta and WhatsApp (to send and receive messages), our AI provider (message text only, never your phone number or name), our payment processor (for billing), and our email provider (for account notifications). All are bound by data protection obligations. We never sell data or share it for anyone else’s marketing.
Cookies: our website and the Bellbee dashboard use standard session cookies necessary for login, and anonymized analytics. We don’t use advertising cookies or share cookie data with ad networks.
Where data is processed: some of our providers operate outside Pakistan and the UK, including in the US. By using our services or products you acknowledge your data may be processed internationally. We require contractual safeguards from every provider we use.
How long we keep it: Bellbee account data is kept for as long as your subscription is active, and up to 30 days after cancellation. Conversation memory used for AI context expires after 24 hours of inactivity. Security logs are kept 90 days. Payment records are kept 7 years as required by law. For general business enquiries, we keep your information only as long as needed to respond or deliver the service you’ve engaged us for.
Your rights: you can ask us for a copy of your data, ask us to correct it, ask us to delete it, export your Bellbee order and appointment history from your dashboard, or object to how we use it. End-customers can ask the business they messaged to delete their conversation history. If the business doesn’t respond within 30 days, email [email protected] and we’ll handle it directly. Email [email protected] for any of this; we respond within 30 days and may ask you to verify your identity first. If you’re not satisfied with how we’ve handled your request, you also have the right to lodge a complaint with your local data protection authority, for example the Information Commissioner’s Office (ICO) in the UK, or the relevant supervisory authority in your country.
Security: we encrypt stored phone numbers, enforce HTTPS everywhere, use token-based authentication, and protect our admin panel with two-factor authentication and login lockouts.
Children: our products and services are intended for businesses and professionals, not individuals under 18. We don’t knowingly collect data from minors.
WhatsApp and Meta compliance (Bellbee): we operate under Meta’s WhatsApp Business Policy. Business owners are responsible for getting proper consent from their customers before messaging them and for not using Bellbee for spam or prohibited content.
Changes: we’ll update the date at the top of this page whenever we make material changes, including when we add a new product’s data practices to this policy, and notify registered Bellbee businesses by email at least 30 days beforehand.
Governing law: this policy is governed by the laws of Pakistan. Disputes fall under the courts of Lahore, Pakistan. Cybersol360 Ltd is also registered in England and Wales, and UK and EU users may rely on applicable UK and EU data protection law in their dealings with us.
Delete your Bellbee account and data.
To request deletion of your Bellbee account and associated data, email [email protected] from the email address registered to your account, with the subject “Bellbee Account Deletion Request.” Once verified, we permanently delete your business profile, staff accounts, customer conversation history, orders, and appointment records. Billing and payment records may be retained for a limited period as required by tax law even after deletion. Requests are processed within 30 days of verification.
